About the Videoconference Centre
Our well appointed 12’ x 20’ videoconference centre features comfortable seating for 1-7 participants with peripheral seating for an additional 4-6 people.Communications equipment features a Tandberg HD camera, speakers and microphone and two state of the art 42" LCD television monitors. The right monitor will display images from the offsite (image you are receiving) videoconferencing locations. The left monitor will display your onsite image (image you are sending) fed from a camera located on the top centre of the monitors or from a laptop or media player. A microphone pod and laptop connection are located in the centre of the table.
Hours of Operation
The usual operating hours of the TechniLite Videoconferencing Centre are from 8:30 am to 4:30 pm Monday through Friday. Please inquire about scheduling availablity and fees outside of these times.Reserving a Room
The videoconference centre is scheduled on a space available, first-served basis. Although the centre may be scheduled for non-video use, priority will be given to scheduling videoconferencing meetings. We typically require a minimum 24 hours notice to book a videoconference call.To reserve the videoconference centre simply place a request using the form below.

You will need to provide the following information:
- your name and phone number
- the day, date, start and end time that you would like to reserve
- the number of people you expect to attend
- the type of meeting (example: interview, business meeting, presentation, deposition)
- details of the participating site with which you would like to connect (include a contact name and telephone number)
- details of the peripherals which you would like to connect (example: DVD recording / player, laptop connection etc.)
There are two types of videoconferences you can conduct:
A point-to-point videoconference takes place between two locations (or sites).
A multi-point videoconference can take place among several (three or more) locations (or sites) and all participate in the same videoconference (similar to a telephone conference call). A multi-point videoconference requires the use of a video bridge. We can provide the service of a video bridge for an additional fee. (please see our Pricing page for details)Reservation Confirmation
A reservation is not confirmed until you confirm dates and times and also provide valid billing information along with authorization for charges associated with the meeting reservation, test calls and facilities rental.After you have provided us with your billing authorization, TechniLite Systems will confirm your payment and then your videoconference meeting reservation time and details.
Testing
We know, and you can expect, that video communications equipment must be tested and calibrated frequently to ensure successful conferences. This is especially important for conferences that are between countries in widely different time zones.Generally, TechniLite Systems recommends that you allow at least 3 working days for us to reserve, test and calibrate video networks and equipment prior to your scheduled videoconference. A technician will test the dial-in numbers and adjust the audio and video as may be required. A videoconferencing coordinator will be available to troubleshoot and resolve problems that may arise during your conference.
Cancellations
It is crucial that sufficient notice be given of a cancelled videoconference call so that other videoconferences can be scheduled.Cancellations with less than two business days notice will be billed $75.00.
Cancellations with less than two business days notice will be billed 50% of all scheduled charges.
Cancellations with less than 1 businesss day notice will be billed 100% of all scheduled charges.
